The MCN Annual Conference is the largest educational program in the world specializing in the digital media systems that are transforming the museums and cultural heritage institutions worldwide. Explore how cultural heritage institutions are succeeding in forging a more perfect union between their traditional missions and new ways to communicate. Exhibits at Conference

The MCN Annual Conference attracts museum professionals who come to see the latest in museum software and automation services. All exhibits and sessions will be held at the Wyndham Franklin Plaza Hotel. Exhibits will be located near meeting rooms where several events will be staged to facilitate interaction between exhibitors and conference attendees. Exhibits will be on display from October 28-29. The exhibit hall will open on Thursday, October 28 at 10:30 a.m. and close Friday, October 29 at 4 p.m. Each exhibitor will also be given 20 ãexhibit hall onlyä passes for potential clients who are not attending the MCN Conference. Booth locations will be assigned on a first-come, first-served basis. Any company or person who provides goods or services related to the automation of information in a museum setting should be involved. Vendors are encouraged to show established products, new releases and products under development. MCN's diverse membership guarantees an audience for products of every price, scale and level of sophistication. Silent Auction
A silent auction will be held throughout the event at several tables in the exhibit hall featuring items of interest and value to the meeting attendees. These items will be available for purchase by the attendees. MCN is currently seeking items for the exhibitors to donate for this auction.

* The management of the conference will host a meeting for the exhibitors for the purpose of exchanging ideas and building a format for successful meetings in the future.

Conference Registration
Each exhibitor may designate one person to receive complimentary privileges as a full MCN Conference registrant (a $350 U.S. value). Conference registrants receive a registration packet including the conference program and access to all MCN program sessions and events. Booth representatives not registering for the conference itself will receive badges allowing them access to the exhibit hall only at no charge. Additional registrations for MCN full conference privileges are available to exhibitor representatives at $200 U.S. each, limit of two per Exhibit Booth purchased.

Exhibitor Information

Availability of exhibit space
Due to limited availability of exhibit space, we strongly recommend that you mail your application early. We will process all applications on a first-come, first-served basis. Register online
Take advantage of the efficiency of submitting your registration information electronically. Simply access the web site at www.mcn.edu and be prepared to enter your registration information and credit card number including expiration. You will receive confirmation by mail. Be assured that your credit card number will be protected by our secured server. Conference information and any updates will be posted on the web so check www.mcn.edu regularly.
Cost and size of exhibit space
The rates for exhibit space are as follows:
MCN Member: $650 per booth. Includes one conference registration.
Non-member: $725 per booth. Includes one conference registration.
Booth Size: All booths are 8 feet deep by 10 feet wide.
MCN reserves the right to deny exhibit space.
Note: Exhibit space pricing does not include any materials such as (but not limited to) tables, chairs, carpets, etc. These items must be arranged separately with the exhibit decorator. Upon receipt of your space contract and assignment of space, detailed information will be provided to your authorized representative.
Registration of exhibit personnel
Exhibitors will receive one complimentary registration per paid booth space. Additional registrations are $200 per person limit, two per booth. Representatives must be employees of your company and may not hold any other membership classification within MCN. Please submit names and corresponding payment on the enclosed application. All representatives must be registered.
Terms of payment & cancellation
Applications must be accompanied by check or money order made payable to the MCN in the full amount per space rental reserved. If written notice of space cancellation is postmarked by Wednesday, September 15, 1999, a full refund, less a $50 administrative fee, will be made. No refund or cancellation will be made for requests postmarked after September 15, 1999.
Assignment of exhibit space
Assignment of exhibit space will be made 30 days prior to the meeting. You will be notified in writing. Space will be assigned based on the date your request is received, availability of requested area, amount of space requested and special needs and compatibility of exhibitors.

An Exhibitor Service Kit containing literature and rates for all labor, services, electrical connections, furniture, and miscellaneous equipment will be provided to exhibitors by Freeman Decorating Company, shortly after assignments of space have been confirmed. An Exhibitorâs Service Center will be maintained on the exhibitor floor to facilitate service requests from exhibitors during exhibit installation and teardown.
Exhibitor listing in the program
Each exhibitor will be listed in the conference program with a brief (100 words or less) description of their exhibit. Exhibitors wanting more extensive exposure are invited to advertise at discounted rates in the conference program, sponsor special events, advertise in Spectra, and/or distribute materials in the conference registration packets.

Promotional Materials

Terms of Contract

1. Restrictions on Location of Exhibits and Solicitation
Vendors are not permitted to conduct or solicit business in the exhibit hall unless they have purchased exhibit space. Vendors are not permitted to exhibit products and services to the full conference except in the exhibit hall; exhibitors may privately demonstrate products to individuals in locations other than the exhibit hall.

2. Booth Assignments
Booth assignments will be made in the order they are received at MCN. To be complete, a contract must include the rental fee as indicated; assignments will not be made until the required rental fee is received. Every effort will be made to place exhibitors in their preferred positions and to separate exhibitors from competitors when requested, subject to space availability. This year's conference location will accommodate twenty eight (28) 8âx10â booths.

3. Booths
A standard 8' x 10' booth is provided to the exhibitor. If an exhibitor plans to install a completely constructed display so that the standard booth equipment is not required or installed, no part of the constructed display shall project so as to obstruct the view of adjacent booths. Booth side dividers of a height in excess of 36" must not extend further than three free out from the back wall. Booth wall must not exceed eight feet in height. Island exhibits must include a back wall that blocks visibility of neighboring booths. Any exception must first be approved by MCN. Audiovisual equipment must not be played at a level that would interfere with adjacent exhibitors. Telephone connections and special electrical requirements will be installed at the exhibitor's request for an extra charge.

4. Payment and Cancellation Full payment is required for reservations. Deadline for reservations is September 15, 1999. Cancellations made prior to September 15 will receive a refund less a $50 US penalty. No refunds will be made on cancellations made after September 15, 1999. No refunds will be made for ad copy or program inserts not received by September 15.

5. Use of Space
No exhibitor shall permit any other corporation or firm or its representatives to use the space allotted to the signer of this contract, nor shall he/she display articles not manufactured or normally sold by him/her. Requests for CO-participation by any other corporation or its firms or representatives in space assigned to the original applicant must be made in writing to MCN. If permission is granted by MCN, there will be an additional charge of $150 US per day for each additional participant. Exhibitors may not sublet booths or assign this lease in whole or part without the prior consent of MCN.
6. Limitation of Liability The exhibitor shall indemnify the organizers against all claims, demands, actions, expenses, damages, penalties or proceedings arising out of or in any way connected with the exhibitor's occupancy and use of the exhibition premises or any part thereof. Exhibitors will be required to pay the cost of making good any damage to floors, wall structures and accessories.

7. Security and Insurance The organizers will take responsible care to ensure security in the exhibition area. The organizers will not be liable for damage or loss to exhibitor's property, nor shall they be liable for any injury that may occur in the exhibition areas. The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arriving out of injury or damage to exhibitors' displays, equipment, and other property brought upon the premises of the hotel and shall indemnify and hold harmless the hotel agents and employees from any and all such losses, damages and claims. Exhibitors are responsible for obtaining the insurance they require to participate.

8. Protection of the Exhibit Hall Facility
Nothing shall be posted or tacked, nailed, screwed or otherwise attached to the columns, walls, floors or other parts of the conference hotel without permission from the proper building authority and MCN.

9. Contractor and Shipping Freeman Decorating Company is the official drayage contractor for the conference. Details on shipping will come directly from Freeman Decorating. An Exhibitor Service Kit containing literature and rates for all labor, services, electrical connections, furniture and miscellaneous equipment will be provided to exhibitors by the official decorating contractor a short time after assignment of space has been confirmed. 10. Installation and Dismantling
Packing, unpacking and assembly of exhibits will be done only in designated areas and in conformity with directions of the exhibition manager, the hotel or their assistants. The specific requirements as to the time for installation and dismantling of exhibits will be supplied to each exhibitor. Such requirements shall be binding. All displays must be in place and set up by the time of the official opening of the exhibit area. Space not occupied or set up by one hour prior to that time may be reassigned for other purposes. No exhibits shall be dismantled before the official closing time of the show.

11. Default Occupancy
An exhibitor failing to equip space which has been contracted is not relieved of the obligation of paying for such space at the full rental price. MCN shall have the right to use, as it sees fit, any such booth unoccupied by one hour before the exhibition opening.
12. Distribution of Printed Matter, Samples, etc.
Neither exhibitors nor non-exhibitors shall distribute to the conference attendees printed matter, samples, souvenirs and the like, except from within the rented spaces. Special distribution of such matter elsewhere must be approved by MCN. Distribution of material in the Conference Packets is available for a fee.

13. Listing of Exhibits in the Final Conference Program
Exhibitors will be listed in the final conference program. They may supply a brief description (100 words or less) of their exhibit to appear in the program. The description must be received by September 17, 1999, and exhibitors who do not provide a description by that date may be listed in the program by name only. Exhibitors who register after September 17,1999 will not be listed in the program.

14. Agreement to Conditions
Each exhibitor agrees for himself/herself and his/her employees to abide by these conditions, it being understood and agreed that the sole control of the exhibition hall rests with MCN.

15. Amendments
MCN shall have sole authority to interpret and enforce all rules and regulations contained herein, and to make any amendments thereto, and to make such further rules and regulations as shall be necessary for the orderly conduct of the exhibition.

Mission Statement

The Museum Computer Network (MCN) is a nonprofit organization of professionals dedicated to fostering the cultural aims of museums through the use of computer technologies. We serve individuals and institutions wishing to improve their means of developing, managing and conveying museum information through the use of automation. We support cooperative efforts that enable museums to be more effective at creating and disseminating cultural and scientific knowledge as represented by their collections and related documentation.
MCN Activities
MCN'S activities include providing referral services for institutions and individuals looking for information on all aspects of automation, and the coordination of special educational programs that provide instruction in both introductory and advanced topics. MCN has many Special Interest Groups, which represent a number of topical interests ranging from Archaeology and Anthropology to the Internet to Visual Information, as well as regional areas. MCN's newsletter Spectra, published quarterly, carries articles, project updates, product news and reports from MCN's Special Interest Groups. MCN also publishes the MCN Directory of Vendors and Consultants. MCN has developed Planning for Museum Automation, instructional materials for running workshops on introductory museum automation. MCN is an active participant in the electronic community, with a World Wide Web Site, making information on MCN, its programs and its publications available to a wider audience on the Internet.
